Old-fashioned system has been replaced with cloud-based solution for more efficient operations

Vennersys, the integrated ticketing, retail and visitor management company, has worked with Floors Castle in the UK to update its attractions management system with the addition of VenposCloud.

Floors Castle dates back three centuries and is located in the picturesque Scottish Borders. The centrepiece of the Roxburghe Estate, it is home to the Duke of Roxburghe and his family. The estate hosts weddings, seasonal festivals, tours, and other events all year round, and includes numerous gardens, cafés, woodland walks, and even a cycling route.

Operations were in desperate need of modernisation, as the team was using old-fashioned, calculator tills, and the estate had no EPoS system or online ticketing functionality. Additionally, they lacked a network, which made it impossible to connect their systems or share data, complicating the administration of events and busy times.

Boosting efficiency and revenue

The estate hosts events all year long and required a ticketing and management system that could handle the complexity and demand. On a recommendation from David Green, head of innovation at Blenheim Palace and a satisfied Vennersys client, Floors Castle reached out to the firm in 2016.

Vennersys’ admissions and ticketing software made it easier for the attraction to organise and manage daily ticketing and access, as well as schedule events. With the VenposCloud system, the Floors Castle team benefits from automatic data collection and reporting tools, as well as online ticketing, management functionalities and ongoing customer support. This enabled the estate to revolutionise its attractions management system.

A better visitor experience

Now, visitors can store their tickets on their smartphones, which cuts down on lost tickets and administrative time for staff while also minimising paper waste. Vennersys is able to handle more than just standard tickets and admissions; it also takes care of the memberships and annual passes offered to Floors Castle visitors.

The automatic reporting feature has also made it simpler for the castle to gather customer and company data for future decision-making. They may now see information about the demographics of the audience, the most popular ticket types and events, popular times of the year, and more. All of this information aids Floors Castle in making better-informed business decisions. They can decide to adjust rates based on the number of visitors, schedule activities to draw in the largest crowds or close particular areas for construction during the slowest periods.

Matthew Thompson, the operations manager of Floors Castle, says:

“First of all, the VenposCloud system does absolutely everything you need it do, and I can barely find a fault with their offering. The system saves us hours in admin time every single week and being able to do online ticketing and memberships has increased our revenue, but those aren’t even the main reasons we still choose to work with Vennersys. We swear by Vennersys because of their commitment to us as a client.”

Vennersys also recently optimised admission systems at Dorset Museum, exchanging paper-based processes for its cloud-based system.
